Membership Association with Earmarked Donations

American Medical Women's Association

AMWA's stated mission:

The American Medical Women’s Association is an organization which functions at the local, national, and international level to advance women in medicine and improve women’s health.  We achieve this by providing and developing leadership, advocacy, education, expertise, mentoring, and strategic alliances.

Project objectives were to migrate them from an iMIS database that was no longer meeting their needs while preserving their custom data; meeting the needs of the membership committee; and facilitating long-term engagement with their members, which often starts when they are students and continues as members progress in their careers. AMWA has numerous levels of membership, including 4-year student memberships, annual memberships for physicians, and lifetime memberships.

CiviCRM's import tools made the migration straightforward with just a little fortehought. In just a few days, we had most of their data transferred over.

Because AMWA solicits donations for specific programs (i.e., restricted funds), their donation tracking needs were somewhat more sophisticated. Through CiviCRM's accounts and financial transaction types, we were able to model their processes.

Functionality

AMWA needed to separate funding into several accounts and for the data to be easily transfered to their accounting system, Sage ERP MAS 90. This is especially important because IRS regulations require that funds raised for specific programs not be mingled with general funds; they must be earmarked for use in the relevant program.

We accomplished this with the new functionality around financial transaction types (dubbed CiviAccount) and multiple contribution pages.

Each fund is assigned its own contribution page. This allows for the transactions to automatically be assigned their proper accounting codes for easy export to MAS 90.

This project was a collaboration between Simplicity Metrics (WordPress design and implementation, communications, and project facilitation) and Ginkgo Street Labs (CiviCRM implementation and systems administration).
